Checklist for Walk Hosts

 

Before the Walk

 

  • At least one week beforehand, use the generic e-mail account stocketshost@gmail.com to send out a walk reminder e-mail, including the walk description. The description should be available on the e-mail account or on the web; if not remind Steve.

  • Remind Stockets to book by Wednesday prior to the walk and remind them that the bus may be cancelled if numbers are below a cut-off number (to be agreed with Committee). Also ask for mobile numbers.

  • Use the generic e-mail account to check replies, creating a folder for the walk

  • Answer any queries about walk, pick-ups, etc.

  • Check who is going and agree possible leaders and back markers, including at least one competent member willing to lead the alternative walk.

  • If numbers are likely to be below the BEP calculated in the projected budget (approx. below 25), contact Gordon Travel to change for a smaller bus (Tel. 01224 781919). This has to be done by the Tuesday for a Saturday walk or by the Wednesday for a Sunday walk.

  • Ensure you have mobile numbers for majority on your phone.

  • Know the route

  • Check the weather forecast (and snow conditions) – e.g.

 

On the Day

 

  • Turn up early, with a list of those booked on the walk

  • Collect monies if Treasurer is not coming

  • Check with Gordon if the bus has not arrived

  • Decide how long to wait for potential no-shows

  • Ensure the bus driver knows where he is going (if necessary guide him to the actual drop-off point)

  • Agree a toilet stop

  • Ensure the driver knows when and where he is expected to pick us up (if possible get his mobile number)

  • Ensure everyone is back on the bus after any stops

  • Welcome any new members and guests *

  • Be prepared to modify the planned walk (in consultation with committee members) if weather or other circumstances make this advisable

  • Ensure all walkers are shown the route of the walk(s) and know where the bus pick up will be

  • Assign a leader and back marker for the main walk

  • Offer a short and long walk, and ensure each group has at least one competent walker who knows where they are going

  • Decide on the pub stop (if not at the end of the walk)

  • Check with the driver when he needs to depart to get back to Aberdeen within his allotted hours

  • Advise people when we will leave the pub and get everyone back on the bus in time

  • Find a volunteer to provide a description of the day for the website

  • Check at Mile End for any gear left on the bus or the pavement
